The Organization: The Saint John Multicultural and Newcomers Resource Centre Inc (SJMNRC) is a non-profit organization that provides an integrated approach to settlement services for newcomers, including one-on-one employment related counselling, referral and placement services to immigrants. The management of the Centre is overseen by a volunteer Board of Directors. The mandate of the SJMNRC is to:
· Facilitate the integration of newcomers to Saint John and help to retain them in the region;
· Create a road map for newcomers;
· Build a centrally coordinated service delivery model that connects the existing service providers, community stakeholders and clients; and
· Serve as an advocate for newcomers and the multicultural community in the Saint John region.
The Position: Reporting to the Managing Director, the Administrative Assistant is responsible for working with the team to ensure efficient and effective administrative and reception duties for staff, clients and the Board. Specifically, the Administrative Assistant will be responsible for:
· provide general reception, administrative and clerical support including greeting clients, answering the telephone, data entry, and mailing, scanning, faxing and copying various materials
· maintain electronic and hard-copy filing system; assist in maintenance of same for Managing Director
· open, sort and distribute incoming correspondence; assist in coding invoices and expense claim forms; distribute payments to various venders
· perform errands such as trips to the post office, bank, and office supply stores
· prepare and modify documents including correspondence, reports, drafts, and memos
· maintain office supplies for department
Qualifications:
· 2+ years of hands-on administrative support experience
· proficiency in MS Word, MS Excel and Simply Accounting a must
· knowledge of operating standard office equipment
· excellent communication skills – written and verbal
· ability to prioritize projects and strong problem solving skills
· good research skills and attention to detail
The ideal candidate will have 2+ years of experience in relevant areas such as customer service, accounting, and office administration. Related experience is an asset. Additionally, applicants must demonstrate an ability to work under tight deadlines, to work with different cultures, to multitask, and to prepare high quality written documents. Ability in both official languages is required.
