Major Duties : Serves as Administrative Support Assistant with assigned responsibilities for performing a wide variety of administrative service support duties related to the management of the office work for the Battalion Command Group and Battalion staff. The work requires knowledge of the mission and functions of the organization as well as an understanding of how the administrative processes interrelate and how they affect the mission. Incumbent possesses a broad understanding and detailed procedural knowledge of the diverse administrative functions involved in the work of this position. Provides administrative support and related advisory services for the Command Group. Tracks administrative actions for accuracy, quality, and compliance. Maintains and updates a database for tracking of all actions. Creates and maintains various spreadsheets. Provides technical advice to the BN Executive Officer and staff concerning program management. Provides advice, consultation, and assistance concerning the application and implementation of managerial requirements. Prepares, reviews, and presents the weekly synchronized agendas and daily calendars for the Command Group. Receives, reviews, and distributes personnel policies and program information. Provides guidance in the development of internal procedures and policies to conform with prescribed regulations. Assures that required records and files are maintained properly, and necessary reports are prepared and forwarded in accordance with the Army Records Information Management System and Army Regulation 25-20. Assists in preparation and attends/participates in daily, weekly, and monthly staff meetings, Operations Planning Team (OPT)'s, In Progress Reviews (IPR)'s, After Action Reports (AAR)'s, briefs, and training as directed. Compiles minutes from all meetings. Coordinates, monitors project progress and directs functions to completion for the BN S3. Provides advice and assistance relative to the planning, development, and implementation of administrative policies and procedures. Coordinates accomplishment of administrative requirements, special and priority projects, and other actions in order to conform with Brigade directives. Receives, tasks, monitors, reviews, and assembles documents that require multi-task actions. Administers records and forms management, correspondence and mail management, and office and document security by ensuring compliance with appropriate administrative regulations, rules, policies, and procedures. Facilitates or completes the processing of administrative actions. Prepares and maintains office standard operating procedures (SOPs) and administrative directives, ensuring both office and desk SOPs are updated in a timely manner. Collects and analyzes data in order to make recommendations for improvements or elimination of deficiencies in administrative operations such as, changes in routing of certain information or actions to eliminate duplication of effort and streamline the administrative process. Implements and monitors improvements to ensure continuity of correct policies and procedures. Advises supervisor of major administrative regulatory changes and their impact on existing administrative policies and procedures. Provides technical assistance to the executive officer and staff on a wide scope of administrative policies, procedures and regulatory requirements. Responds to special requests and directives, provides management with status of assignments. Arranges TDY Travel on the Defense Travel System for Command Group military personnel, both CONUS and OCONUS, which includes but is not limited to lodging reservations, rental car reservations, transportation arrangements, passports, coordinating schedules with other travelers, scheduling and setting up conference rooms as needed. Includes submitting and filing of vouchers upon completion of travel. Serves as the point of contact for publications and forms ordering. Performs other duties as assigned.
